RONIVIA Studio (“RONIVIA”, “we”, “us”) is a creative studio in North York, Toronto, Ontario. Many of our pieces begin with something personal: a photo of someone you love, a pet, a child’s drawing, a memory. We treat what you share with us with the same care we put into the work itself. This policy explains what we collect, why, and the choices you have, in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
- Contact details you give us: name, email, phone number, and shipping or billing address.
- Commission details: the photos, drawings, descriptions and notes you send through our custom order form, email or social media.
- Order information: the pieces you buy, delivery details and correspondence about your order.
- Payment information: payments are processed by our payment provider (for example Stripe) or by Interac e-Transfer. We do not see or store your full card number.
- Basic technical data: like most websites, our hosting and store record information such as your browser type and pages visited, and use essential cookies to keep your cart and checkout working.
How we use it
- To design, make and deliver your piece, and to show you the design for approval before anything is made.
- To reply to your messages and keep you updated about your commission or order.
- To process payments, shipping and, where required, taxes and accounting.
- To issue and verify your RONIVIA certificate of authenticity.
- To keep our website secure and working properly.
We do not sell your personal information, and we do not use your photos for anything other than your commission without your permission.
Your photos and your piece
The photos and memories you send are used only to create your piece. We will never publish a photo of a client, or a finished piece that shows a recognizable person, on our website or social media without your explicit consent. If you agree to let us share your piece, you can change your mind at any time and we will remove it from our own channels.
Who we share it with
We share only what is needed to serve you, with trusted service providers:
- Shipping carriers and couriers (such as Chit Chats) to deliver your order.
- Payment processors to complete your payment.
- Our website, email and hosting providers (such as Hostinger and WordPress/WooCommerce services) that store our site and messages.
Some of these providers may store information outside Canada, where it may be subject to the laws of that country. We may also disclose information if required by law.
How long we keep it
We keep commission photos and files only as long as needed to complete your piece, provide after-care, and make repeat copies if you ask for them. Order and payment records are kept as long as Canadian tax and accounting rules require. You can ask us to delete your photos at any time once your order is complete.
Your choices and rights
You may ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent to any optional use (such as sharing your piece publicly). Just write to us and we will respond within 30 days.
